You’re a tax professional; this one should be a no-brainer.  In fact, you’ve probably already given your clients this tip.  Take advantage of holiday sales to purchase items your business will need next year. Prepare for New Year (Part One of a Two-Part Series)

The New Year is a perfect time to enjoy a fresh start for your practice.  As 2008 winds down, you should take some time to reflect, and consider ways to improve your business practices in 2009.  In this two-part series we examine 10 ways to prepare for the New Year and enjoy more productivity and profitability as a result.  This week we cover the first five tips:

1. Revamp workplace

No, you don’t have to redecorate your office.  But we do suggest at least rearranging the furniture.  Giving a workplace a fresh new feel will often inspire better performance.  This is the perfect time to consider a new coat of paint, or if necessary, a new office chair or filing cabinet.  Reflect on items you need to best do your job, and then take advantage of holiday sales to purchase those items your office needs most.

2. Clean up computer files

While we often take the time to clean our workspace in order to present a professional image to clients and other visitors, how often do we clean up our computer files?  Although business associates may not be privy to how messy our virtual desktops may be, it does impact our ability to work efficiently and maintain valuable client records.  Schedule a couple hours during which you can reorder your computer files and back up pertinent information.

3. Revisit damaged relationships

No one performs better while holding a grudge.  Whether they be personal or professional, the holidays present a perfect time to repair damaged relationships.  Take the time to apologize for any real or perceived offenses for which you may be responsible.  You’ll find the holidays are much more enjoyable when you’ve taken the time to iron out misunderstandings with friends, family, and business associates.

4. Create a financial forecast

You’ll have a good idea of what to focus on when you create a financial forecast for the upcoming year.  Especially considering the current economic crisis, your business will do better when you can estimate your income and prepare for any contingencies.  Prepare a budget and consider and implement strategies that will increase your income.

5. Implement new techniques and services

In this day and age, industries change and advance quite rapidly.  Now is a good time to research industry trends and determine how you might alter your business practices in order to keep up with the competition, or better yet, gain that competitive advantage.

Go Green with Your Small Business

Many small business owners have made a conscious effort to “go green” by lessening the impact of their businesses on the environment.  Whether big or small, any business can take steps to protect the environment and make their facilities healthier for employees and patrons.  Not only that, but there are considerable tax benefits to be had by the owner of an environmentally conscious business.  Here are 8 things to consider in making your business greener:

1. Review ISO 14001

The International Organization for Standardization has developed a set of environmental management standards called the ISO 14001. It specifies the standards small to large businesses can follow in becoming more environmentally sound.  Including specifications on things such as information security, education and transportation, the ISO 14001 is a great place to start in building your environmental awareness.

2. Recycle

This is an easy step any business can take.  In creating a company recycling policy you can make a big difference in the amount of waste your business expends.  Fortunately, most recyclables can be found in any business:

o   Newspapers

o   Unbroken glass bottles

o   Aluminum cans

o   Some plastics

o   Empty metal cans

o   Mixed paper

3. Look at alternate energy sources

This can be a large investment; but it has big payoffs in the long run.  Whether you are building new facilities for your business or you are considering remodeling current facilities, you should evaluate alternate energy sources that could lessen your impact on the environment.  Solar panels, ground-source heating, wind and waterpower are all options worth considering.

4.  Cut down on energy consumption

Business.gov has many recommendations on making your business more environmentally conscious.  One suggestion they offer is to apply energy-saving tips regarding the use of office equipment.  You can purchase Energy Star qualified products which are more efficient than those available through standard retail.

You can also cut back on energy consumption by using a laptop rather than a desktop computer.  Also consider unplugging office equipment when not in use.  Regardless of what you may have heard, these machines still draw power even when they are off.  Consider using power strips that can be turned off, preventing any phantom energy drains.

5. Consider a hybrid vehicle for your business

If you drive a vehicle for your business you should consider purchasing a hybrid.  Not only could you benefit from potential tax benefits, but you’ll save a tremendous amount in gas.

6. When possible, cut back on your trash

Often we throw away more than is necessary.  Take a look at common items in your trash.  Is there anything you could reuse or repurpose in order to cut back on waste?

7. Rub shoulders with other green businesses

When you interact with other green business owners you will get ideas that you may have been unaware of previously.  You’ll also appreciate the ability one business has to make a difference in preserving our resources.

8. Research government grants

The government offers grants to assist businesses in their efforts to go green.  The Sustainable Development Fund, the Energy Savings Trust, and the Environment Action Fund are just three examples of such grants that can help fund company efforts to make their businesses more environmentally sound.

As a business owner you have many things to worry about, and you may have been avoiding these environmental issues because you don’t think you have the time or money to make a difference.  The truth is taking baby steps over a long period of time can make a substantial difference.  While you don’t have to incorporate all eight tips at once, picking one or two is a great start.  It can also help your employees and your customers better appreciate your efforts to preserve our resources.  And who wouldn’t want to do business with someone like that?

And as we are in the middle of what some would call a recession, getting more out of your work day could help you and your business fair better during difficult economic times.

In this two-week series we will discuss 10 tips on working more efficiently so that you can eliminate the unnecessary and find more time for billable hours. Here are the first five of 10 tips designed to help you work smart:

1. Clean and organize your workspace

You can waste hours looking for important documents if your office is not clean and organized. While this tip may seem like one designed to lengthen your workday rather than shorten it, you’ll find that setting aside just a few hours to tidy up your office will save you a lot of time in the long run.

And this tip is not for looks alone. You want to ensure that all your files are quick and easy to locate. So don’t just hide them in a box in the closet. Take the time to truly organize your workspace. And once you do, dedicate a few minutes at the end of each day to clean up your office so it doesn’t become unruly once again.

2. Schedule workday around your most productive times

One perk in being self-employed is that you’re not required to comply with a traditional work schedule. This can be incredibly helpful for those who may work better early in the morning or late at night. Determine the times of day you are most productive and schedule your workday around those times.

There’s no use working 9 to 5 if you find you’re most sluggish in the last afternoon. Maybe you could work from 6 to 11am and then again from 8 to 10pm. Ensure your schedule is realistic and works for you and your family. And if your schedule is highly unconventional, make sure you devise a method for contacting clients and colleagues, as their schedules are likely to be more traditional.

3. Establish a routine

Once you determine a work schedule you should develop a routine. Routines can help you work more efficiently. Determine when you will read and respond to email; abide by that routine. Determine when you will call and meet with clients; abide by that routine. While there will definitely be times you must break from this schedule, generally it can help you stay on task and reserve the bulk of your time for billable hours.

4. Hire help

Sometimes it does take money to make money. Some of your more tedious tasks could be accomplished by a part-time employee. While you may need to pay this individual minimum wage or more, think of all the time it affords you to make more money and possibly take on additional clients.

You may find your best employee lives in your home, just a hop, skip and a jump away from your office. When you hire a teenage child to work for your business, you not only equip them with valuable experience and key employability skills, but you also enjoy important tax breaks. As long as the child is under 18 he/she is not only tax deductible, but in a proprietorship they’re exempt from FICA, Unemployment, Workmen’s Compensation, and tax withholding.

5. Consider replacing some paper files with electronic files

Sometimes all that paperwork can bog you down. You may want to consider which files would be easier to manage electronically, eliminating the paper trail as well as making information much more accessible.

By following just a few tips, you could make your business function more efficiently, which will make you and your business more productive, and in turn, more profitable.

Running a Client-Centered Full-Service Practice

3 Questions That Will Help You Get On-Track

In order for your services to appeal to clients, they must focus on fulfilling their needs. This requires you to be dedicated to running a client-centered practice.

You’re familiar with the importance of good customer service because you yourself patron other businesses. You know what you like, and often the offer of a one-size-fits-all solution for your unique needs isn’t appealing. The same applies to your own clients. They want to feel as if your services are customized to suit their specific needs.

How do you do that? You must regularly step away from your practice and look at it from a client’s perspective. When you do so ask yourself the following three questions:

1. How will these services enhance my business?

Your clients aren’t interested in what you do as much as they’re interested in how it will benefit their business. While you may submit a mean tax return, they would find your ability to save them money in taxes much more appealing. So as you consider your demographic, ask yourself what they really want from you. Once you are able to answer that question, you’ll be better prepared to cater your services to meet their specific needs.

2. How much will it cost me?

While we’d like to think that clients are first interested in your services and second interested in your fees, that’s not always the case. Especially when you’re working with small business owners, they want to save as much money as possible, even when it comes to their taxes. When faced with this issue it’s often most effective to present them a per-project estimate rather than an hourly fee. They imagine those hourly fees adding up much more quickly than they actually do. When they can see how much the entire project might cost them (for example, tax planning by the month or tax preparation by the form), they’re generally more subdued and can see just how valuable your services are.

3. Do you offer any complementary services?

When you’re low on time or too tired to drive around, you can probably appreciate the convenience of a super store that has everything from groceries to pharmaceuticals to clothes to hardware. Your clients are just as interested in convenience as you are, and if you asked them they would probably admit they would prefer to have all their financials managed by the same individual.

Accounting services are the perfect complement to tax services. Not only would your current clients find your new services appealing, but you would be more likely to attract more prospective clients with the convenience of a one-stop financial shop.
